TERMS AND CONDITIONS

Making a Booking

All bookings are made with etr tours, a Swiss company registered in the Canton of Vaud. No contract exists until etr tours (etr) has received payment of initial deposit and reservations will be made according to the number of deposits received. Should the school request additional places after the deposit is made, etr will do what it can to accommodate late additions. However, etr cannot be responsible for disappointment should late additions not be accommodated.

This contract is subject to Swiss law and jurisdiction, canton of Vaud. No additions, deletions, changes or promises may be made relating to these conditions except in writing by a director of etr. The school agrees with the below terms and conditions upon payment of deposit.

Deposit and Full Payment

As each of our tour programs are custom designed, deposits and payments are due on the dates outlined by etr in the lead up to the departure. By not meeting the due dates, the clients risk putting the arrangements in jeopardy and etr cannot be responsible for late arrival of due payments or the subsequent loss of reservations of transportation or land arrangements. Though every attempt is made to be flexible with each group, final payment for the tour must be received either 45 days or 60 days (dependent upon demands from suppliers such as airlines, etc.) before the start of the program. Bank transfers should be sent to etr accounts as noted on the Payment Forms to arrive on the noted dates

Cancellation Policy

etr understands the need to be flexible with our international school clients regarding the cancellation of a student’s participation in a tour programme. We also recognize that as our programs are priced based on the number of participants on each tour, we reserve the right to recalculate prices should the number of participants fall below a stated minimum. The student participant must understand that by inscribing on a school organized tour program which is priced based on the number of participants; he or she commits to his fellow students his financial as well as physical participation.

Events Beyond etr's Control

If any event such as, but not limited to, war or threat of war, terrorist activity, political unrest, riots, natural disasters, closures of airports, technical problems with or accidents involving aircraft or other transport, fire, bad weather, force majeure and any other similar event beyond etr’s control occurs prior to departure which results to total cancellation of the tour programme, etr will be entitled to retain from fees paid any reasonable expenses incurred in connection with the original booking.

Liability

etr is pleased to accept full responsibility for arranging, with reasonable skill and attention, any tour program booked with the company. However, it is not possible for etr to be responsible for any services not directly under its control, such as, but not limited to, hotels, airlines and transportation companies, equipment suppliers. Accordingly, etr wishes to make it quite clear that it will not, under any circumstances, be responsible for any additional expense, distress, disappointment, loss, damage, injury, accident, delay, inconvenience or irregularity resulting from or attributable to the act or default of any company, firm or persons in connection with the carrying out of such arrangements or bookings or the conveyance of any clients, unless caused by the proven negligence of etr. Every booking is accepted subject to the conditions imposed by these outside companies or agencies and any claim with respect to such matters must be made against the appropriate principal.

Weather Conditions

If any event such as, but not limited to, war or threat of war, terrorist activity, political unrest, riots, natural disasters, closures of airports, technical problems with or accidents involving aircraft or other transport, fire, bad weather, force majeure and any other similar event beyond etr’s control occurs prior to departure which results to total cancellation of the tour programme, etr will be entitled to retain from fees paid any reasonable expenses incurred in connection with the original booking.etr cannot be responsible for weather conditions that adversely affect the scheduled activities of any tour program. If an activity is cancelled for any weather related reason, etr will attempt to find alternative activities. However, no refunds can be made unless a supplier refunds etr. In such a case, the full amount reimbursed will be returned to each person less the cost of any alternative activity, should one be secured

Curtailment of travel

etr accepts no responsibility in the unlikely event that a contracted transportation supplier (airlines, train companies, coach companies) is unable to perform its contracted duties in a timely fashion for whatever reason. In this case, etr will make every reasonable effort to assist the group in securing appropriate food and lodging. It is understood that any extra expenses that may be incurred are the entire responsibility of the group

Insurance

etr maintains NO personal insurance for its clientele. However, etr does offer full accident and medical insurance at an additional charge, if needed. The premium can be quoted by the etr office and this coverage must be requested at least 15 days before date of travel. If the etr offered insurance policy is not taken up, insurance must already be held by each person participating in an etr program and the policy should cover any and all costs related to illness and accidents.

Cancellation or Modification of Programs

etr reserves the right to cancel or modify program itinerary or any program element for any reason beyond its control

Passport / Visa / Vaccinations

It is entirely the applicant's responsibility to ensure that every participant has a valid passport, appropriate visa and conforms to any health regulations regarding vaccinations. etr tours will not accept responsibility for any additional expenses incurred in the event that a participant travels without the required documents and will not make any refunds should a participant be refused entry to the country where the program is operated

Promotional Materials

etr tours reserves the right to use any photographic or film records of the program for promotional and/or commercial purposes, without any remuneration to the applicant or participant(s) concerned

The school agrees with the above terms and conditions upon payment of deposit.
